A forthcoming upgrade to the university’s email system will soon give UI faculty and staff access to many exciting new features. Non-healthcare-provided email accounts will be upgraded to Microsoft Office 365 by the end of the calendar year.

  • Install the latest, full versions of Microsoft Office on up to five personal devices; part of the Microsoft 365 suite of services offered free of charge to all Microsoft 365 University of Iowa students, faculty, and staff. Before you install Office, please take note of the following things.
  • HawkID Login for Office 365. Forgot your HawkID or password? Required Soon: Enroll in Two-Step Login with Duo. You will be logged in to this service securely. Information which will allow you to access the site you requested will be transmitted to the site. This information will be encrypted before it is sent.
  • Related Services Office 365 is the primary campus email and calendaring service for Faculty, Staff, and Students. The service can be used through a web interface and email clients such as Microsoft Outlook, as well as mobile devices.

  • 50 times larger email quota (from 1 GB to 50 GB).
  • 1TB of cloud file storage through OneDrive (current home drives are 25 GB). You can access files from anywhere, sync across all devices, and share files and folders with co-workers.
  • Each employee can install the full Office Suite for free on up to five personal computers/devices.
  • Optional use of online Office apps (Excel, Word, Power Point, & OneNote) for easy collaboration.
  • Seamless integration with instant messaging, video conferencing, and online meetings.
  • Office 365 is compatible with smartphones and mobile devices, or accessible by web.
  • If you continue using desktop versions of Microsoft applications, like Outlook, your experience won’t change.
  • Security is a key requirement, and the UI negotiated strong contractual agreements with Microsoft, including a Business Associates Agreement to cover HIPAA data.
Email

UI students moved to Office 365 two years ago, and have had positive feedback on the change. Expanding the service to employees will unify everyone into the same modern user experience. The plan is to migrate employees unit by unit, in a logical progression. Information Technology Services will migrate in early August, followed by groups that volunteered to be early adopters. ITS and local support staff will be in touch with details as the time for your unit’s move nears.

Cloud email is a major trend, with companies like Microsoft and Google now offering high-quality email services to universities and corporations. Microsoft has more than 20 million cloud service users in education, and the UI is joining the growing number of schools, such as Nebraska, Duke, and Ohio State, that moved or are moving to 365.

A new integration is now available in ICON. The Microsoft Office365 integration allows instructors and students to use, create, share, and collaborate on files within their ICON course sites. Office365 integrates into many areas, including Assignments, Collaborations, and the course navigation menu.

Creating an Office365 Assignment will allow an instructor to distribute OneDrive for Business files to the entire class. Students will receive a copy of the file in their own OneDrive for Business account, which they can then work on and submit to the ICON assignment dropbox when they are finished. The instructor can then take advantage of SpeedGrader to assess the student’s work.

Creating an Office365 Collaboration allows instructors to create Excel, PowerPoint, or Word documents for students and student groups. Students can work together simultaneously on these files while utilizing the Office365 chat functions to further increase collaboration.

Office365 files can also be added to a Course Module. An instructor can link to any file in their OneDrive for Business account, and open this file in either the course page, or in a new tab; Office documents such as Word, PowerPoint, and Excel will display automatically.

Finally, the Office365 integration in the Rich Content Editor enables even more areas—including Announcements, Discussions, and Quizzes—to connect a course to OneDrive for business files.
